If you choose to connect a third-party service to Annotime, we may access certain information from that service as necessary to provide the functionality requested by you.

When you connect your Google or Zoom account to Annotime, we may access account and meeting-related information necessary to provide meeting-related functionality. This may include calendar events, meeting information, and other information required to display upcoming meetings, identify supported online meetings, and allow you to select meetings for recording and note-taking.

Annotime accesses and uses information from these services only as necessary to provide the features you request. For Google APIs, Annotime's use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements.

We do not access your Google Calendar information for purposes unrelated to the functionality described in this Privacy Policy.

3.3 Information We Collect Automatically

We may automatically collect limited technical and usage information necessary to operate, maintain, and improve the App, including:

  • Device information (e.g., device model, operating system version)
  • App usage data necessary for core functionality

We do not collect precise location data or use data for advertising purposes.

We may use limited device, usage, and advertising attribution information to measure the effectiveness of our marketing campaigns. We do not use Google user data, audio recordings, transcripts, notes, or other User Content for advertising or targeted advertising purposes.


4. How We Use Your Information

4.1 Providing the App Services

To provide the core functionality of the App, including AI-powered transcription, summarization, and note generation. This includes processing audio or video files that you record within the App, upload to the App, or share with the App from other applications, in order to generate transcripts, summaries, and notes at your request.

4.2 Improving Service Quality and User Experience

To maintain, analyze, and improve the performance, functionality, and reliability of the App. This may include using aggregated and anonymized information such as feature usage duration, frequency of use, device type, operating system version, and diagnostic or crash data to evaluate feature effectiveness, identify technical issues, and enhance the overall user experience.

4.3 Communicating With You

To communicate with you regarding your use of the App, including responding to customer support inquiries, providing technical assistance, and sending service-related notices. We may use the email address you provide to deliver these communications.

We do not use your personal data or User Content for advertising, marketing, user profiling, or training AI models.

4.4 Google User Data and Limited Use

Annotime's use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

Google user data obtained through Google Workspace APIs is used only to provide user-facing functionality requested by the user, such as displaying upcoming Google Calendar meetings and enabling users to select meetings for recording and note-taking.

Any transfer of Google user data to third-party service providers is limited to what is necessary to provide the requested functionality and is subject to appropriate contractual and data protection requirements.


5. AI Processing and Third-Party Services

We rely on trusted third-party service providers to operate, maintain, and improve the App. These third parties act as data processors on our behalf and process personal data only as necessary to provide their respective services.

The third-party services we use include:

  • DigitalOcean – used to host and deploy our backend servers and related infrastructure.
  • Apple – used to process subscription purchases and payments made through the App Store. We do not receive or store your full payment information.
  • Firebase (Google) – used for analytics and diagnostics to help us understand App performance, feature usage, and to identify and fix technical issues. Data collected through Firebase is aggregated and used solely for improving the Service.
  • AssemblyAI – used to provide speech-to-text transcription services for audio or video files that you record, upload, or share with the App.
  • OpenAI – used to provide specific artificial intelligence features within the App, such as text summarization and other AI-assisted processing. Data sent to OpenAI is processed only to deliver the requested functionality and is not used for model training.
  • Recall – used to provide meeting recording infrastructure for supported online meeting services.
  • Meta (Facebook) – used for marketing and promotional services, such as measuring the effectiveness of advertising campaigns. We do not share your audio recordings, transcripts, or notes with Facebook for advertising purposes.

All third-party service providers are contractually required to protect your data and to process it in accordance with applicable data protection laws.


6. Data Security

We maintain appropriate physical, administrative, and technical safeguards designed to protect your personal information, Google user data, and User Content against unauthorized access, disclosure, alteration, or destruction.

We take reasonable measures to protect the confidentiality, integrity, and security of information processed through the App and limit access to authorized personnel and service providers who require such access to provide and maintain our services.

7. Data Storage, Retention, and Deletion

We retain User Content and personal information only for as long as necessary to provide our services, fulfill the purposes described in this Privacy Policy, and comply with applicable legal obligations.
